Time & attendance reports

Ask a question

A unified Sigur time and attendance report provides you with some useful insights about your employees’ actual working hours and any possible work schedule violations for any period of time. All report settings can be saved in a separate profile for future reference and quick access.

Time and attendance tracking: work schedule violations

To accurately calculate payouts to your employees and efficiently distribute workload, it is crucial to register all violations of the work schedule. Therefore, a time and attendance report shall cover all aspects of an employee’s absence from the workplace or their overtime.

For these purposes, Sigur provides a variety of flexible tools that help automatically count the actual working hours taking into account all the aspects such as early or late departures, overnight shifts, etc.

Configurable parameters of a unified time and attendance report

In Sigur, you can create multiple profiles to generate different types of reports with different settings.

Each profile has a number of configurable settings:

  • Parameters of recorded data: what counting methods will be used, how violations, proofs and justification documents will be accounted for and how data will be displayed
  • Daily data: which data will be displayed for each day in the selected reporting period
  • Data for the period: which data will be shown at the bottom of the report for the entire period
  • Employees’ data: which data on each employee will be shown in the report

To be able to analyze the data more efficiently, you can configure in a profile how data will be represented in a report: by employees, by dates, by departments alphabetically, by departments hierarchically.

Parameters of recorded data:
  • How presence will be recorded: all periods of presence (minus periods of absence) or the entire period from the first access event to the last access event, from the last entry to the first exit (i.e. in case of multiple entries, the system will record only the last entry)
  • Violations: here you can enable or disable tracking of violations such as early arrivals to work or from lunch, early departures from work or to lunch, late arrivals to work or from lunch, late departures from work or to lunch
  • Ignore violations of less than N minutes: here you can choose to ignore violations that do not exceed the set period of time
  • Show arrival / departure times only in case of violations
  • Take into account proofs and justification documents: the system will take into account the reasons an employee was absent from work such as a vacation, sick leave, business trip, etc.
  • Show both the date and the day of the week
  • Hide empty entries from a report: this option will help generate a shorter and more efficient report, e.g. by excluding the employees who have had no violations
Daily data:
  • Start of the actual working hours, departures to and arrivals from lunch, end of the actual working hours
  • Periods of absence and the total time absent
  • Actual working hours, actual working hours without lunch
  • Work schedule, actual working hours against work schedule
  • Violations of arrival or departure times (from / to lunch, from / to work)
  • Justifications and comments
  • Entry checkpoint and exit checkpoint
  • Number of access events
  • Violations of an access sequence: shows any violations of an access sequence such as missing entry, missing exit, multiple entries, multiple exits, in which case, the recorded information, such as actual working hours, will be inaccurate.
Data for the period:
  • Total actual working hours and actual working hours without breaks
  • Work schedule and total actual working hours against work schedule
  • Total overtime and undertime
  • Actual workday count, number of workdays according to work schedule and number of actual workdays against work schedule
  • Total absence time
  • Count and total time of all violations sorted by arrivals to work, departures to break, arrivals from break and departures from work
  • Total number of access events
Employees’ data

When a report is generated, you can choose which information will be shown on each employee, including name, employee ID, position, department, additional customizable parameters. For convenience, all reports grouped by employees can be set to show employees’ names only at the beginning of the group or employees’ names can be shown in each line.

Auto delivery of a report

Sigur offers an option to automatically send a unified time and attendance report to specified emails. As with any other scheduled event, you can set:

  • Email address, subject and text of the email. You can choose to use preset variables to automatically fill in some parameters of the report
  • Periodicity of the delivery: once a month, once a week, every Monday, daily or any other intervals
  • Time of delivery
  • Employees and departments to be included in the report
  • Profile (any of the profiles created previously)
  • Reporting period: previous / this day, month or week, last 7, 30 days or any other reporting period
